Summary: | The purpose of this project is to design a monitoring system to improve the information management of the student peer tracking process at the Student Success Resource Center (CREE) of Universidad del Norte. The process currently has a heavy reliance on manual tasks, fragmentation of data across multiple platforms, and a lack of formal documents describing how the process is carried out. In order to address this issue, a six-phase methodology was followed consisting of the survey and documentation of the current process (AS IS), design of the future model (TO BE), bot development, validation in test scenarios, construction of visualization dashboards in Power BI and elaboration of an implementation plan. During the analysis of the current process, critical points for improvement and repetitive tasks that could be automated were identified. As a result, a solution based on Robotic Process Automation (RPA) technologies was proposed, using the UiPath platform, with the objective of improving the information management of the PIPE program follow-up process. This automation was complemented with interactive dashboards developed in Power BI, which allow a clear visualization of key indicators of the program, such as the number of peers who completed PIPE, the number of peers certified by CRLA, compliance by modality (asynchronous and synchronous), as well as participation by academic program, among others. The result was a system capable of reducing the total execution time of the process by 56%, thanks to the standardization and automation of the process. In addition, errors in data handling were eliminated, going from 10 cases of reprocessing to 0. This system will allow CREE to periodically update information on the follow-up process and facilitate access to relevant data for the department, peers and other interested parties. |
